What we collect, and why.

USAGE is software for agencies and production houses. A company signs up, sets up accounts for its staff, and uses it to run deals, productions and finance. This notice explains what personal data passes through it and what we do with it.

Two kinds of people

Staff have accounts. We hold your name, work email and a hashed password, plus what you enter while doing your job. Your employer controls that account and can deactivate it.

Crew, talent and contacts usually have no account. A production company using USAGE may enter your name, role, phone number, email and, where you are being paid, your invoice. They do this to run their shoot; they are the data controller for that information and we process it on their behalf. If you want it corrected or removed, ask them, and we will help them do it.

The phone app

The app opens a call sheet from a link, with no account. If you allow notifications, we store a device token so we can tell you when a call time changes; it is deleted when your phone stops accepting it. If you send an invoice through the app, the photo or PDF you choose is uploaded and attached to that invoice. The app keeps a copy of any call sheet you open on your phone so it works without signal; that copy never leaves the device.

The app does not track you, contains no advertising, and sends nothing to anyone except us and Apple’s notification service.

The website

If you fill in the sign-up form we keep your name, company, email and message so we can reply. We do not use analytics or advertising cookies. Signing in sets one cookie that keeps you signed in.

Where it lives

Data is stored in the United Kingdom and the European Union with these providers, each of which processes it only to run the service: Vercel (hosting), Neon (database), Cloudflare (file storage), and Apple (push notifications, iOS only). Transactional email is sent through a mail provider when one is configured for your company.

How long

For as long as your company is a customer, and for a short period afterwards so they can export it. Call sheets and invoices are business records and are kept by the company that created them. You can ask us to delete an account or a device token at any time.

Your rights

  • Ask what we hold about you, and get a copy.
  • Have it corrected or deleted.
  • Object to how it is used, or ask us to restrict it.
  • Complain to the Information Commissioner’s Office if you think we have got this wrong.

Where a production company entered your details, they are the controller and we will pass your request to them and help them act on it.
